26 JUNE 2002 MEETING MINUTES

Present: Molly Wheeler, Ben Stone, Trish Nugent, Addy Sonder, Traci Drummond, Dixie Owens, Don Drumtra, Dr. David B. Gracy II

I. Meeting called to order by Molly Wheeler, President, at 5:20 pm

II. Speakers:

War & Archives: Molly has contacted Andras Reidlmayer from Harvard University to see of he gives speeches. He does, and he could be available to speak at Archives Week, depending upon his schedule. Molly will follow up.
Addy has contacted the International Council on Archives to ask for the names of certain committee members.
Accountability: Ben has found information on the Freedom of Information Foundation of Texas. They are journalists and lawyers and can help groups pick an appropriate speaker

II. Archives Week/Clinic:
There was discussion among those present as to when to hold archives week. It was decided that in order to avoid other conflicting events, Archives Week should be held October 7-12th. Traci has booked the Austin History Center for October 12th from 10-3. Traci will try to get pamphlets from University Products to distribute at the clinic. It was suggested that there be more of a focus on the preservation of audiovisual materials this year.

IV. Budget:
Traci reports that there is approximately $525.00 in the account.

V. Fundraising:
There was general interest expressed in reading Becky's report of fundraising from last year. It was decided that we should begin the fundraising effort in July. It was also decided to bring an example of a mug to the SAA conference in August. Molly will find out what the shipping costs would be and Addy will get an order form up on the Website. Dr. Gracy has excess packing "peanuts" that can be used for shipping. There was discussion regarding the sale of mugs in relation to the tax law- can we sell the mugs directly or do we need to sell a "membership" and give the mug as a gift? Addy will go to Student Organization Headquarters to find out how we should proceed.

VI. Giveaways:
Molly reported that the most promising give- aways would seem to be magnets and pads of post-its. We decided that we need to place our order by late August.

VII. Image for Posters:
There was discussion on what size our posters should be. Dr. Gracy suggested that we do not create full poster size advertisements. Regarding design, it was decided that we would first solicit designers from the GLISSA list, with the promise of $25 and a mug as compensation. If there are no takers there, we might try the art school. Ben mentioned a photo that ran in the Ransom Center newsletter depicting a library destroyed by war. It was decided that such an image would be good for our posters and we should all be on the look out for images we might use.

VIII Banner:
Dr. Gracy has the banner. We need to schedule the bridge. The banner needs to be hung on the 6th of October.

IX Website:
We decided not to include job or internships announcements on our Website. This information is already well presented elsewhere. We will keep a listing of past events and past minutes on the site. Addy will take photographs of the group for posting and work on a re-design.

X. Other Events:

There was discussion on the need to build better relationships with other groups. In that vein a mixer is proposed for Archives and PCS students. Also, a similar archives mixer to the one held last year was suggested.
Dr. Gracy suggested Sept. 6th as the tentative date for the potluck at his home.
Orientation was discussed. Traci and Molly volunteered to work a SAA table at orientation that would provide student chapter handouts. It was suggested by Dr. Gracy that we contact Julie Hallmark, who is co-coordinating this year's orientation.

XI. Wrap-up:

Molly suggested that we all be on the lookout for images for the poster.
Ben, Addy and Trish will have information on possible speakers from the organizations discussed in section II.
Dr. Gracy will investigate possible Mexican contacts for speakers.
The next meeting will be held on July 9th.

The meeting was adjourned at 6:30pm
