5 NOVEMBER 2002 MEETING MINUTES

Next Meeting: 19 November, 2002

Present: Dixie Owen, Erin Lawrimore, Aaron Spellbring, Molly Wheeler, Addy Sonder, Traci Drummond, Stephen Naron, Ron Drees, Dr. David Gracy II

Meeting called to order by Molly Wheeler, President, at 5:22 pm

I. New Members

Traci announced that we have several new members: Tara Olivero, Cheri Baker, Aubrie Carrier, Leslie Hirsch, Laura K. Hollingsed. We enticed Aaron Spellbring to join the chapter as well.
Traci also announced that for those of us who became members last fall it is time to renew our annual membership.
II. Archives Week
Each of the board members will need to write reports about what they did to plan for archives week. The report should include contact numbers, and any concerns, suggestions, or things you would have done differently or would have liked to have. The reports should be submitted in May 2003 when the new board takes over.
Dr. Gracy mentioned that he is still receiving emails of praise from alumni regarding the archives week events.
III. Ray Edmondson details
Ray Edmondson will be speaking on November 14th and 15th. There is already a room reserved for these times. Dr. Gracy said he would handle any room changes if they are needed.
We will take Ray to dinner after his talk on Friday. We will ask people to RSVP so that we can have an idea of how many people will be attending. Molly will provide details in a message she sends to the SAA listserv
IV. Next Semester Ideas
Dr. Gracy mentioned that George Gause, UT-Pan American Archivist, has invited us to visit an archival repository in Mexico. We would all like to consider this, and will think about the details.
Addy presented the idea of having a PCS/SAA Christmas party. Everyone was open to the idea. We will tell Marlan and begin planning.
V. Mugs
There are 16 mugs left in CDL. We need to get an accurate count of how many mugs there are. Everyone should post their count to the board listserv.
Dixie asked what to do with the shipping boxes. We will store them in CDL.
Ron presented the idea of ordering to-go mugs for the next batch. He has a good mug model and knows where to order them. We discussed the pros and cons of getting to-go mugs. Stephen suggested that we could order both the regular and the to-go mugs. Erin suggested that instead of mugs, we order other trinkets, such as those available at cafepress online.
VI. Chapter funds
Traci announced that we will have around $1000 after all checks are posted. At this moment, no one needs reimbursements.
