23 JULY 2001 MEETING MINUTES

Present: Carol Mead, Becky Romanchuk, Amy Braitsch, Jennifer Hecker, Heather Arnold, and Dr. David B. Gracy II

I. Meeting called to order by Carol Mead, president, at 7:30 pm.

II. Archives Week

  1. Speakers
    We decided that Sue of the Colorado Digitization Project and Debbie Carter of the Bush Presidential Library will each have her own speaker's event, Debbie Carter for Tuesday October 16th and Sue for Thursday October 18th. Funding to bring Sue to UT is being sought from the Colloquium Committee. Amy suggested checking the University Catalog for courses in the History and Computer Science departments whose topics may overlap with our events' topics and suggesting to those teachers that their students would benefit from attending our events.

  2. Fundraising
    Carol and Becky have volunteered to pursue fundraising efforts. Dr. Gracy has suggested approaching archives supply vendors for donations.

  3. Giveaways
    Carol will continue pricing magnets (with our Texas Archives War image and the dates of the 2001 Archives Week), desk flags (with the same image), mechanical pencils and scratchpaper pads.

  4. Mixer
    Jennifer will contact Margaret Schlankey of the Austin History Center and speak with Margaret's husband who coordinated the Archives Mixer last year. We wish to collaborate with his efforts for this year's mixer so that our student body and local archivists can benefit from meeting one another. Becky will help Jennifer with preparations for our participation in the mixer on Friday October 19th.

  5. Clinic
    Amy will contact Jane Grieg of the Austin American-Statesman so that our Archives Clinic, held Saturday, October 20th, will be publicized in Ms. Grieg's column.

  6. Logo/poster
    Amy has contacted Kinko's to price various sizes and paper stocks for our poster. Carol will include poster pricing in her own research into our giveaway ordering.

  7. Publicity
    Amy and Jennifer have agreed to handle the publicity efforts for Archives Week.

III. Fall potluck

We have set 7 September 2001, 6:30pm as the date for our annual potluck dinner at Dr. Gracy's house. We plan to email reminders to the UT-SAA listserv as the date approaches.

p>IV. September speakers

Dr. Gracy will approach Larry Hackman, who will be speaking at the LBJ Library in September, about speaking to students on professional development and his personal experiences as an archivist. If we are unable to engage Mr. Hackman, we will ask Lee Miller or Charles Schultz to speak instead. Jennifer added that she knows an American Studies professor who is interested in helping us bring Nicholson Baker to UT.

V. Graduate and Professional School Day: 10/10/01

Carol will follow up on possibilities for our participation in Graduate and Professional School Day, to be held in the Texas Union Ballroom. Our idea so far is to have a table with UT-SAA representatives, information about the archives profession, and giveaways.

VI. Charles' idea for archivist outreach

Charles would like us to coordinate with high school history teachers, probably with Advanced Placement classes, to provide resource ideas for research using primary sources. All thought this is a good idea and would be worth pursuing this year. Dr. Gracy mentioned the Junior Historians, an organization for high school students sponsored by the State Historical Association, as an appropriate contact group for this sort of outreach.

VII. Additional topics

Advising for students entering archival enterprise will occur Wednesday, August 22nd at 1pm. UT-SAA will have a table with information and give a short presentation to the incoming students about our organization. Presentations by local practicing archivists, especially alumnae Julie Holcomb and Sarah Canby-Jackson, and professors from the Preservation and Conservation Studies program will be arranged through the year. We asked Dr. Gracy to help persuade GSLIS faculty not to have major tests or papers due during Archives Week in order to prevent obstacles for students to attend our events. We are also resolved to post information about UT-SAA events to the Archivists listserv to spread the word about our enthusiasm and activities.

VIII. Meeting adjourned at 9:15 pm.
