22 JANUARY 2002 MEETING MINUTES

Present: Carol Mead, Joel Minor, Becky Romanchuk, Amy Braitsch, Molly Wheeler, Heather Arnold, Becky Kyle, Ben Stone, Dixie Owen, Addy Sonder, Stephen Naron, Traci Drummond, Erin Lawrimore, Don Drumtra

I. Meeting called to order by Carol Mead, president, at 5:23pm.

II. Memberships

Charles still needs to resolve the issue of how many SAA-UT memberships are current. Carol suggests posting to our listserv to identify who only paid five dollars for our chapter membership but did not join the national organization at the same time, as is required. Becky Kyle recommended mentioning the member benefits, especially discounts on texts bought through SAA, as incentive to those who need to join.

III. 2002 elections

Carol discussed our decision to bypass our current chapter constitution bylaws in order to hold officer nominations and elections in February instead of in April. Her reason, with which we all agreed, is that incoming officers need to have as much time for orientation and instruction as possible to help prepare their goals and activities for the next academic year. Carol will post a call for nominations to the SAA-UT listserv in early February and elections will occur two weeks later.

Those expressing interest in running for an officer position include, of those present at this meeting, Molly Wheeler, Becky Kyle, and Stephen Naron. Heather suggested that they and others as yet unsure of running check our website for the descriptions of each officer's duties to get a better idea of what each officer does (i.e. the responsibilities are not too difficult and the opportunities for personal and professional growth, not to mention fun and camaraderie, are too good to pass up.)

IV. Poster session

Carol revisited the opportunity for any student in the archives program to submit a proposal for a poster at next SAA's student poster session. The current board is considering proposing a poster describing our Archives Week activities of 2001. Carol also passed along Kris Kiesling's reminder that the deadline for paper session proposals for SAA is also approaching.

V. Bulletin board

Becky will see that boxes are made to hold handouts of membership forms, etc. for our bulletin board. Amy informed all present that any ideas or suggestions for notices of jobs, internships, educational opportunities, or other archives-related news are welcome and appreciated.

VI. Mugs

Charles has not as yet researched a supplier for a new order of mugs; we will await his report at our next meeting.

VII. Events--Spring 2002

Some officers have understood from Dr. Gracy that he feels another EAD workshop this spring, as we had last year, would be duplicating the EAD material now a part of his archives course taught this semester. However, those on the board believe that enough interest can still be stirred to make a workshop worthwhile. Amy agreed to speak further with Dr. Gracy on the matter.

Amy asked everyone's opinion on touring the Navarro College archives, where GSLIS graduate Julie Holcomb is archivist. Because of the two-and-a-half hour drive (each direction) to Corsicana, most felt that if Julie would come to UT to speak we could generate more interest and participation. Amy pointed out that Julie has a summer intern position she needs to fill, and if anyone is interested it would be well worth their time to visit Navarro to investigate the opportunity. Amy will be in contact with Julie and will update us on her willingness to visit us.

Erin Lawrimore suggested we ask John Ripley, consultant to HRC's Theater Arts collection, to speak to our chapter. He will be in Austin through the end of March. Molly willspeak to Mr. Ripley about the possibility and agrees that she would be a very interesting speaker.

Carol remembered that Dr. Gracy and past president Mike Strom had recommended bringing Cal Lee from the University of Michigan to speak to us about resume-writing for archivists.

An internship talk should also be scheduled as soon as possible with those who completed internships talking briefly about their experiences and answering questions of those interested in applying for internships for this summer.

VIII. Finances

Carol asked Joel how much money our chapter currently has, and he answered a little over $1000. Carol asked all present what our ideas were for how to best use this money. She reminded us that we had previously discussed using some of the money to sponsor students to attend SAA and SSA. Many agreed that this would be a good use, though we haven't decided on a method of disbursing the money. Heather suggested that it may be most motivating to students if they knew that the sponsorship was not a contest where some would win and some lose, but if all who intended on going to the conference would thereby receive a portion of our chapter's money set aside for that purpose. While if many students attend a conference the amount awarded to each individual would be minimized, Becky and Stephen pointed out that the chances are good that only a few students will make the commitment to attend SAA or SSA because of personal motivation and the necessary financial outlay, and that the chapter's money would probably be sufficient to help all those interested, at least in some small way. We hope that by offering such sponsorship that we will help motivate those students to attend.

IX. Miscellaneous

Amy noted that the HRC/LBJ film festival begins tomorrow with A Streetcar Named Desire, and continues every few weeks, for free, at the LBJ.

Since Heather's birthday is today, Carol brought a delicious carrot cake to celebrate, and we all wished Heather a very happy birthday.

X. Meeting adjourned at 6:12pm.
